3. To be done
for the speakers: Barbara Quarton has volunteered to work with the
speakers. We will need bios of the speakers, find out of they need
special materials or equipment, and the speakers will need reminders,
and someone to deal will travel issues. CSUL will cover the cost
of Mark Lanstons travel. Barbara Quarton will contact him
to get estimate of the cost.
4. Room Issues:
We need to find out if the speakers need special equipment and if
the room can support it, and if we can set the room up. The room
that we have currently reserved only holds 36 people. Barbara Quarton
is going to check and see if we can reserve a larger room. Currently,
we have the room from 9am-12:30pm. She will also check to see if
we can have the room for longer, at least until 1pm.
5. Publicity:
Rosemary McGill and Cynthia Bruns volunteered to be the publicity
committee. Posters will be sent to all CSU liaisons announcing this
program. Announcements will also be sent by e-mail to the CARL list.
They will include a registration form, which is to be mailed, with
money. The announcement will also include phone numbers of who to
ask about registration (Hazel Cameron) and who to ask about the
program (Barbara Quarton.) The publicity committee should also put
together a PDF registration form to be loaded on the CSUL-South
web by Bonnie Petry. Also needed is an announcement of the program
in the upcoming CARL newsletter. Announcements with the registration
form and announcement to the campus liaisons will be sent out on
March 23 or 24 after people have returned from ACRL. A reminder
will be sent out May 1, unless the program is already full.
6. Handling
Money: Hazel Cameron will receive the registration with money. She
will forward the registration on to the registration committee and
e-mail confirmation back to the participant.
7. Registration
committee: Deborah Schaeffer and Linda Muroi have volunteered to
handle registration. They will also produce nametags and create
lists of participants. We agreed that our cancellation policy is
that we offer a full refund to an individual who needs to cancel
by simply returning their check.
8. Materials:
Naomi Moy and Judith Downie will put together the program. It was
also suggested that a list of all the databases that the EAR committee
has evaluated in the past would be helpful.
9. Food: Kelly
Janousek and Karin Duran have volunteered to handle the food for
the program. We are planning on breakfast during registration and
a boxed lunch afterwards, which would be ordered by the participants
during the mail-in registration process.
10. Set-up:
Rosemary McGill has volunteered to handle the set-up of the room.
She will need additional help if we end up bringing in breakfast.
11. Hazel Cameron
has volunteered to write-up a description of the program to be published
in the CARL newsletter after the event.
12. Jill Vassilakos-Long
has volunteered to write up a description of the program and send
it to Bonnie Petry to be loaded on the CSUL-South web page.
13. Cost of
the program. At this point the suggested cost is $10.00 for CARL
members and $12.00 for non-members with $10.00 extra for those who
would like to order a box lunch. The final price should cover lunch
for our speakers and travel for Marc Langston. Adjustments may need
to be made.
14. Action Items:
Barbara Quarton
will 1. Check on the size of the room and hours we have the room,
2. Check with Evan Reader to see if he will speak twice. 3. Check
with Marc Langston to see how much it will cost to cover his travel.
Karin Duran
will talk to the caterer and the hospitality person at the Chancellors
office concerning the food. One question would be: Does breakfast
have to be catered?
Next meeting:
To be arranged as necessary
