Minutes were approved electronically. Duffy posted the minutes to the website.

IV. Old/Continuing Business

A. Spring Program Reports

There were 74 spring program attendees including speakers. The program made $1402. for CARL. Deb Moore passed out a summary of the program evaluations. The comments were mostly positive. One of the non-positive comments that stood out was "too many speakers in the afternoon session." Many interesting comments were made in the what would you like to see in the future category. The committee that plans the 2004 spring program should review the comments before beginning work.

B. Review of Ballot — Elections & By-Laws Changes

    Candidates will be asked to send a short statement (written in the third person) to Gale Burrow by Wednesday June 11. Gale passed out a copy of the proposed bylaw revisions for comments. The steering group suggested corrections to the proposed bylaw revisions.

    Gale will incorporate the candidate statements and proposed bylaws revisions on to the ballot, and send the revised ballots to Duffy. The ballots will go up Monday June 16, and the final date to vote will be July 3. Duffy will count and Judy will recount.

C. CARL Pre-Conferences

The CARL Conference will be held April 22-25, 2004. Pre-Conferences will be held Thursday afternoon and Friday morning. Judy is on the Pre-Conference Planning Committee. The committee will send out a call for pre-conference proposals later this week. The committee will select 6-10 proposals. They are looking for something that is practical, a workshop format, or interactive. SEAL, DIAL, SCIL, and the new Technical Services interest group have all expressed interest. If SCIL is interested in submitting a proposal someone other than Judy Lee or Judith Downie will need to craft the proposal, since they are both on the Pre-Conference Planning Committee. The theme is mission architecture and the sub-topics will be library spaces, budget & money, the human side, reference-teaching-learning, future in a crystal ball, technical & access services, and other topics. The absolute deadline for proposals will be March 1, 2004, but the committee wants information by September 12, 2003 to get it into the October 2003 Newsletter. To meet this deadline the steering committee thought that it would be necessary to meet over the summer to develop a SCIL pre-conference proposal. It was also suggested that a small group be formed from the steering committee to draft the pre-conference proposal. A list was passed around and volunteers signed up and noted when they would be in town over the summer. The core of the SCIL proposal committee will be Tracey Mayfield, Gale Burrow, Nancy Getty, Katy Farrell, and Deb Moore.

D. LOEX/LOEX West

Deb Biggs Thomas asked Deb Moore (she is on the advisory committee) what she thought of bringing LOEX out to the west in 2007. Deb Moore asked the committee if we would be interested in sponsoring it. The steering committee thought it would be a good idea to sponsor a LOEX in Southern California. Deb Moore will tell Deb Biggs that SCIL is interested in hosting LOEX in 2007.

E. 2004 Regional Immersion Program

Gale touched base with Margot Sutton at ALA and everything seems to be moving along for the 2004 California Regional Immersion Program. The steering committee thought it was time to create the core committees that will plan for the program. The Website Committee will be chaired by Duffy Tweedy, and Katy Farrell will sit on that committee. The Activity Committee will be chaired by Emily Woolery, and Amy Wallace will sit on that committee. The Sponsor Committee will be chaired by Nancy Getty, and Gale Burrow will sit on that committee. The Applications Committee will be chaired by Tracey Mayfield, and Melanie Remy and Deb Moore will sit on that committee. The Publicity Committee will be chaired by Debbi Renfrow, and will create a publicity timeline. Duffy will put a call for additional volunteers and information about the different immersion committees up on the website.

V. New Business

  1. Representative to ABLE-S Program Planning Committee
  2. Right now SCIL is a co-sponsor in name only. Gale Burrow will talk to Ann Feigan of ABLE and let her know that SCIL would like to be more involved. One person that should be involved SCIL’s new president elect.

  3. Location and Date For September Meeting
  4. July 18 CSU Long Beach (Tracey Mayfield will send out a reminder to let her know if you will be attending. She needs to know by July 3rd so she can reserve parking.)

  5. ALA Pre-Conference sponsored by ACRL

Angelynn handed out information on a pre-conference sponsored by ACRL. She is on the planning committee. The pre-conference has been offered before, and will be offered again at Mid-Winter in San Diego. The planning committee needs volunteers to help facilitate break out tables during the pre-conference. Email Angelynn if you are interested.

VI. Round Robin

No Round Robin. Instead the steering committee took a tour of the Claremont Colleges to see the accommodations and meeting rooms that have been reserved for the 2004 Regional Immersion Program

Next meeting will be on Friday July 18th at CSU Long Beach.
