California Institute of Integral Studies (CIIS) in San Francisco is a pioneer in integrative higher education, enrolling 1,510 students in 18 academic programs providing interdisciplinary, cross-cultural, and applied studies in counseling psychology, clinical psychology, philosophy, anthropology and social change, ecology, Asian and comparative studies, East-West psychology, women’s spirituality, integrative health, transformative studies and leadership and traditional Chinese medicine and acupuncture.The Institute offers masters and doctoral degrees, as well as a Bachelor of Arts completion degree. We are conveniently located in the mid-market area of San Francisco which is a quick walk from BART, Muni and other public transportation.

The CIIS Laurance S. Rockefeller branch Library holds over 175,000 books (24,000 physical and approximately 151,000 e-books), subscribes to approx.12,700 journals online with some in print, has 31 database subscriptions and approximately 1,500 Audio-Visual materials and over 700 streaming video titles, as well as an institutional repository. CIIS now has a branch library, the Shuji Goto Library, at our ACTCM campus location. The Library offers an increasing number of reference, and instructional services to both residential and distance-learning students. Its catalog and circulation system are available through KOHA, an open-source Integrated Library System.

 

Job Description:

This is a full time position with some possible evening and weekend hours occasionally required and reports to the Library Director. The position promotes excellence in library service through the oversight of access services and collections, as well as planning of and participation in instruction, research support, faculty outreach and other areas of access services responsibilities and functions. The person in this position works with the Library Director as well as other CIIS and professional colleagues, CIIS faculty, staff, and students to ensure access to and training on library resources. As Manager of Access Services, this position will manage access and hire and supervise student workers to assist with reserve functions, and projects within the library. The Librarian: Manager of Access Services shall use a high level of technical, instructional, bibliographic, and interpersonal skills, as well as some leadership initiative, to fulfill the following responsibilities:

PRIMARY DUTIES

  1. Providing leadership for Access Services and the managers of Circulation. Looking at all aspects of access to space, collections and resources, including providing usage statistics on collections and services. Overseeing the general management of circulation services, in cooperation with the Library Office Coordinator/Circulation Manager, and hiring and supervising student workers required to help directly with the Manager of Access Services’ responsibilities, including reserves. In addition to responsibilities at the main CIIS campus, this position will also be consulting with the Librarian who handles these functions at the Shuji Goto branch library (also in San Francisco). Working with the managers and Library Director as needed to formulate and implement changes in services, and policies and procedures that guide library access. Keeping the libraries (both Laurance S. Rockefeller and Shuji Goto) current with CIIS’s policies and procedures and a changing informational world. As required, in consultation with other library staff and the Library Director, helping to resolve operational & management issues related to all areas of Access Services. On occasion performing liaison activities with counterparts in consortial libraries.
  2. Overseeing reserves by organizing and managing academic reserve collections in both traditional paper and electronic formats; and in supporting, training, and communicating with faculty about reserves and in the use of these systems. Hiring and supervising student worker(s) to assist with reserve and other access services projects. Monitoring trends and recommending emerging technologies. As needed, discovering ways to conduct resource sharing and copyright management especially as they impact Access Services. Assisting in determining titles to be obtained as electronic access, or as print volumes. Working towards, planning for, and making available the widest possible access to online, regular and special collections as needed by the university.
  3. Working closely with the Systems Librarian and the Cataloger to improve access to and usability of the Library’s OPAC integrated library system (built in KOHA, an open source software application). With the systems Librarian, Office Coordinator and Cataloger, as necessary, discuss and decide on Koha upgrade changes and implementation for the system, help institute changes in policy as necessary.
  4. With the Reference and liaison outreach team members ? help in the overseeing of requests that come from faculty and other departments for library classes, presentations, orientations or training. Acting as a liaison for a share of the CIIS academic departments, coordinating requests as received from direct liaison work, clarifying requirements and seeing that appropriate library staffing, resources and materials are available. As time allows devising, coordinating, and conducting instructional and informational programs; workshops; orientations for new users; and training sessions as well as creating instructional lib-guides or suggesting updates for web-pages that explain the use of library resources and products, or as appropriate, determining other means of informing the community about library resources and services that would be of interest.
  5. Working closely with the other members of the reference team in providing individual and group research assistance to library users (from bachelor’s completion through faculty level) in reference appointments; in the class room; via telephone; through email; in the online class environment, and using other technologies as available.
  6. Working as a member of the greater library team, undertaking related tasks as appropriate including participating in the review of reference collections and online resources, as well as participating in strategic collection development and library planning with an emphasis on electronic book and A/V resources as needed for online reserves. Responsible for the overall management of the Library stacks and space ? overseeing collection management, physical arrangement, appearance and organization. Working closely with other library staff on space needs and changes to the collections.
  7. Serving the library and university through participating in committee and service work for CIIS as appropriate.
  8. Continuing professional development and staying current with advances in applicable library technology and with relevant issues in access services including space, collections and access; advising colleagues and the director on developments in these areas, and making recommendations for library actionable items when appropriate.

 

Requirements:

  • Demonstrated leadership and organizational skills, including the ability to establish & maintain effective, harmonious work relationships with library staff, university officials, faculty, students & Library users as well as professional colleagues.
  • Excellent interpersonal skills including a willingness to listen, the ability to inspire and the diplomatic skills needed to coordinate tasks among a well-educated diverse team of staff members.
  • The ability to role-model and foster excellent customer service skills and high quality, friendly service to all library users, including off-campus library users, and advocates for their needs.
  • Considerable knowledge of library collections and operations, especially reserves, circulation, interlibrary loan and stack management and maintenance as well as awareness of broad trends and issues in access services and related technologies.
  • Ability to oversee daily operations of services collaboratively with other library staff as well as to establish and maintain efficient, effective and consistent processes and procedures.
  • Strong proficiency & capabilities with personal computers, software, web and library information technology, and knowledge of mobile devices, and general trends in computing.
  • Solid Reference, teaching, instruction and searching capabilities.
  • Capacity to thrive in a growing institution, and respond effectively to changing needs and priorities
  • Knowledge of copyright and fair use as it applies to access services in libraries.

QUALIFICATIONS:

  1. Master’s degree in Library/Information Science from an ALA-accredited program or equivalent is required.
  2. Minimum of five years related professional experience in “Access Services” is required, preferably in an academic library.
  3. Supervisory or managerial experience, outstanding communication and customer service skills are all required; demonstrated managerial skills are preferred, including diplomacy and the coordination of work among disparate people, personalities and departments within and beyond the library.
  4. Experience with library reference services is required; demonstrated excellence in reference services is highly desirable.
  5. Knowledge of trends and issues in teaching information literacy and demonstrated experience of teaching, training and presenting to groups is required.
  6. Sound working knowledge and technical experience working with integrated library systems, and remote authentication is required, as is the use of library systems and technologies as they pertain to access services.
  7. Understanding of U.S. copyright law and how it affects Library Access Services is required.
  8. Familiarity with psychology, integral and/or alternative health, transformative studies or another area of the Institute’s curriculum is highly desirable.
  9. Experience with developing instructional content and deploying through web-based instructional technologies, such as libguides, screen casting software, and/or course management systems is desirable.

Duties are primarily performed in an office environment at a desk or computer terminal, typically, Monday through Friday.
