To enable these accomplished students, faculty, and staff to create, disseminate, and apply knowledge for the benefit of global society, the UCLA Library is re-envisioning how it is acquired, synthesized, and shared across academic audiences and with the public. It was among the first academic libraries to develop subject-specialist librarians and to launch a program to enhance students’ research skills. Its Special Collections pioneered the acquisition by public institutions of rare and unique books, children’s literature, pulp and detective fiction, works by or about women and minorities, screenplays, architectural plans, and Los Angeles-related materials and today leads the way in collecting archival resources in digital format such as emails and manuscripts. It has launched innovative data management services and an affordable course materials initiative that have served as models for other libraries.
The Library serves UCLA students, faculty, and staff whenever and wherever they need its resources and expertise. Reconfigured, high-tech spaces and services in its ten campus libraries enable users and librarians to explore and work with print and digital materials collaboratively or individually, pursue new lines of inquiry, and develop new pedagogical approaches as well as novel forms of scholarship. More than 3.5 million people visit annually, while an additional 3.4 million visitors enter online through its virtual front doors.

UCLA Library Special Collections actively builds and stewards collections including rare book and primary source collections to support and enrich research, teaching, and learning for UCLA’s students, faculty, and staff as well as an international community of scholars and the public. Its holdings encompass but are not limited to a significant rare book collection that includes an unusually large number of artists’ books, fine press editions, and examples of early printing as well as more than 2,000 archival collections including born-digital content, with particular strengths in twentieth-century photography, literature, art, music, and Los Angeles history and culture. It also houses significant and growing physical, virtual and born digital international content and collections used in support of teaching and research.
The UCLA Library invites applications for the newly created position of Head of Outreach and Community Engagement, reporting to the Head of Library Special Collections (LSC). The UCLA Library seeks an enthusiastic, creative, and service-oriented professional to lead and coordinate outreach and community engagement for the Library Special Collections department. An increasing number of scholars, students and faculty are using rare books, manuscripts, and archives both physically and virtually in new and increasingly complex ways in support of teaching and research. In addition, UCLA as a premier public research university is committed to broader public access and community engagement. This position seeks an engaged and energetic leader to expand the use of Library Special Collections well beyond our existing base of users in support of teaching and research.
Reporting to the Head of Library Special Collections, the incumbent leads and coordinates outreach and community engagement for the Library Special Collections department. The Head of Outreach and Community Engagement directly supervises 6 FTE and manages all public and community services; coordinates reader services, outreach, programming and physical and virtual exhibits for LSC. The incumbent leads and collaborates across the UCLA Library to develop a robust data analytic program to assess and expand LSCs’ user-centered services and community engagement activities, and actively collaborates with UCLA faculty in the coordination and development of instruction for classes and for researchers.
Specific duties and responsibilities include:
- Leads and collaborates with staff in Special Collections and across the library, campus, and beyond to plan, develop, and oversee an outreach program that features the holdings of the department and supports the teaching mission of UCLA.
- Leads in establishing programs and services that publicize and promote use of the collections through exhibits and outreach activities including tours, presentations, public events, and outreach sessions with constituents on campus and in the greater Los Angeles community.
- Recruits, trains, mentors, and manages public service staff, assigning work and developing staff specializations as appropriate.
- Collaborates with all LSC and UCLA Library Outreach and Engagement staff and all of Library Special Collections staff to provide reader and research services. In consultation with the department head and in collaboration with the other department managers, defines and implements policies and procedures for reader services, reference, duplication, access, and reading room services in accordance with identified standards and best practices.
- Collaborates, coordinates, and promotes all Special Collections exhibits (online and physical) and designates a registrar for external loans. Collaborates with all members of LSC and Collections Council Digitization Team, Cataloging and Metadata Center, and Digital Library staff on digital exhibits and with the supervisor for Center for Primary Research and Training (CFPRT) to coordinate exhibits curated by graduate student CFPRT fellows.
- Collaborates and works closely with curatorial, collection management, and administrative teams to offer a holistic perspective and insure mission fulfillment. Works closely and liaises with leaders and members of newly established User Engagement teams and others across UCLA Library on understanding user needs, establishing new services, and coordinating services in support of teaching and research.
- Works with all LSC managers and staff to expand online services. This includes coordinating staff members responsible for maintaining the LSC website in order to maintain the currency of its contents.
- Consults and collaborates with Library Communications on promotional and communications activities focused on LSC holdings, programs, and services.
- Coordinates and oversees class visits, departmental tours, and public services activities and programs to promote LSC collections and services.
- Identifies and develops reference holdings appropriate for LSC collecting areas in consultation with curatorial team and public services staff.
- Develops and coordinates reference guides to collections and reference resources for users.
- Collaborates with Library Development on donor identification, cultivation, solicitation, and stewardship.
- Actively engages and participates in the rare books and manuscripts and library profession.
- ALA-accredited Master’s Degree in Library or Information Science OR significant graduate-level coursework toward such a degree OR equivalent education and experience (subject expertise combined with professional library education and/or experience).
- Minimum of five years of recent experience in a special collections setting with experience in reference, outreach, and exhibit curation.
- Formal coursework or training in rare books, and/or special collections librarianship and/or museum studies.
- Experience with the standards, ethics, security guidelines, and best practices in use by special collections professionals and related professional groups including ACRL’s Rare Books and Manuscripts Section, the Society of American Archivists and the American Alliance of Museums.
- Experience or training in planning, implementing, and assessing user-centered services.
- Excellent organizational and time management skills, as well as balancing and completing multiple assignments and projects.
- Extensive experience and ability to work creatively, collaboratively and effectively to promote teamwork, diversity, equality and inclusiveness within UCLA Library and in all aspects of work.
- Extensive experience in promoting knowledge of and use of primary source and rare book and manuscript collections.
- Minimum of five year of supervisory experience that includes training and directing the work of library assistants and/ or student assistants.
- Evidence of successful teamwork.
- A strong record of engagement with the profession through committee work, presentations, and/or publication.
- Formal coursework or training in primary source literacy, object-based pedagogical strategy, and/or active learning techniques using primary sources and/or special collections.
- Experience and enthusiasm for developing pedagogy and teaching using primary source and other Library Special Collections and distinctive content and collections held by the UCLA Library.
- Formal coursework, training, or experience in conservation, rights management, and exhibition loan procedures.
- Reading skills in one or more of the following languages: Spanish, French, German, or Italian.
- Familiarity with the Aeon client interface or technologies that promote the management and use of special collections materials.
Professional librarians at UCLA are academic appointees. Librarians at UCLA are represented by an exclusive bargaining agent, University Council – American Federation of Teachers (UC-AFT). This is a represented position. Appointees to the librarian series at UC shall have professional backgrounds that demonstrate a high degree of creativity, teamwork, and flexibility. Such background will normally include a professional degree from an ALA-accredited library and information science graduate program. In addition to professional competence and quality of service within the library in the primary job, advancement in the librarian series requires professional involvement and contributions outside of the library, and/or university and community service, and/or scholarly activities.
